This policy explains what personal data the GasLink for Retailers app ("the app") accesses through your Shopify store, why, and how it's handled. GasLink is a wholesale gas cylinder fulfilment platform for BBQ and patio gas retailers in the United Kingdom — the app connects your Shopify store to GasLink so that paid orders for gas cylinders are delivered automatically. GasLink currently serves UK-based retailers and customers only.

What we access, and why

• Products and variants — read-only access to your store's product catalogue, so you can map your gas and accessory products to GasLink's catalogue during setup.
• Paid orders — when a customer completes checkout for a product you've mapped, we receive that order, including the customer's name, delivery address, phone number and email address. This is used solely to create and address the physical gas cylinder delivery with the correct supplier.

We do not access payment card details, browsing activity, or marketing data, and we do not request access to any customer data beyond what's needed to fulfil a delivery.

How we use it

Order and customer data is used exclusively to route and fulfil the delivery the customer already paid for through your store. It is never sold, shared with advertisers or data brokers, or used to market to your customers directly. The only automated decision we make with this data is selecting which supplier fulfils an order, based on delivery postcode and product availability — this doesn't affect pricing, eligibility, or any other outcome for the customer.

Where it's stored, and for how long

Data is stored in GasLink's backend infrastructure, encrypted at rest and in transit. Order records are retained for as long as needed for delivery and for legal and accounting purposes. Operational logs (such as webhook delivery records) are retained for a limited period and then deleted automatically. Access to customer data is restricted to what each retailer, supplier or administrator needs to do their job, enforced at the database level.

Your customers' rights

The app implements Shopify's standard data request and erasure webhooks. If a customer requests their data or asks for it to be deleted, we act on that request for the order data associated with your store — erasing or anonymizing the specific customer's information without affecting your store's connection to GasLink or any other customer's records. If your store is uninstalled, we erase the data this app's connection created.

Your responsibilities as a merchant

This policy covers GasLink's processing of data received through the app. Your own store's privacy policy, shown to your customers at checkout, should disclose that order fulfilment data is shared with GasLink as your gas cylinder supplier.

Data protection law

As a UK company processing data about UK customers, GasLink complies with the UK GDPR and the Data Protection Act 2018.
